About The Office

The Office of the University Registrar serves as the pivotal center for managing and issuing academic credentials for both current students and alumni. Recognized as the most frequented office on campus, it plays a critical role in addressing a wide array of academic and semi-academic inquiries, thus becoming an indispensable resource for the university community.

Entrusted with the implementation of academic rules and policies, the office is essential in preserving the university’s esteemed reputation. Beyond merely managing student records, it actively supports alumni through vital employment services and verification processes, ensuring that graduates are well-equipped for their professional journeys.

Additionally, the office operates as a comprehensive support unit within the MSU System, overseeing key functions such as enrollment, registration, academic program management, graduation logistics, and the development of the Academic Calendar. This central role positions the office as the primary service provider for academic and semi-academic matters within the university.

Moreover, the Office of the University Registrar extends its services beyond the main campus. It facilitates course enrollment, academic management, and evaluation for various extension programs, including MSU-Bataraza in Palawan, MSU-Sindangan in Zamboanga Del Norte, MSU-Sultan Kudarat, MSU-Maguindanao, MSU-MSAT for graduate programs, MSU-Buug for nursing, and MSU branches in General Santos, Iligan, Sulu, and Tawi-Tawi for the Juris Doctor Program.

VISION

The Office of the University Registrar envisions to play vital roles in upholding excellence through providing a functional capacity committed in addressing the overarching needs of the students and alumni towards academic and semi-academic endeavors.

MISSION

The Office of the University Registrar is committed to:

  • Act as frontline service provider of the university pertaining to students’ registration, students’ information and scholastic data, and implementation and enforcement of academic policies.
  • Collaborate with the Administrative and Academic units of the University and its extension programs in sustaining and enhancing a systematized enrollment and registration.
  • Top operational functions apropos to better students’ stewardship.

OBJECTIVES

In support of its Vision and Mission, the office adheres to the following objectives:

  1. Promulgate the implementation of the University Rules and Academic Policies related to scholastic records.
  2. Provide an accurate and honest students’ data.
  3. Protect, preserve and update the students’ records.
  4. Support relevant endeavors of the university for planning and policy-making; And,
  5. Provide quality, efficient and timeless services for the issuance of scholastic credentials.

DR. ANSANO M. AMPOG

2017 - Present


Dr.
ANSANO M. AMPOG is the present System University Registrar of the Mindanao State University since 2017 when he was formally appointed as Director. Dr. Ampog was a former Special Assistant to the Office of the President of MSU System and a former Professor at the College of Public Affairs, and at present, he acts as Lecturer of the Graduate Studies Department, of the said college in MSU-Marawi City, Main Campus where also he obtained his Bachelor degree, Master of Public Administration, and Doctor of Philosophy in Educational Management. Further, he also earned units for his Doctor of Public Administration at Ateneo de Cagayan – Xavier University in Cagayan de Oro City in 2016.

Dr. Ampog’s remarkable career and professional experiences include his designation as former Director for Presidential Management Staff of MSU System President in 2016 and former member of the Board of Director, MSU Marawi Resort Hotel Inc. (MRHI). Currently, he is a member of the Board of Director, National Association of Registrars of State Universities and Colleges (NARSUC) of the Philippines.

THE UNIVERSITY REGISTRAR is committed to:

  1. Supervise the implementation of the university Academic Policies as stipulated on the university codes.
  2. Promulgate significant rules apropos to the formulation and enforcement of guidelines and policies on registration, enrollment, accreditation, graduation, management to students’ records and other related scholastic matters.
  3. Management to the staff and to the general operation of the office.
  4. Ensures the integrity, accuracy, and security of all academic records of the current and former students, and facilitates effective student registration process
  5. Sets the standard operating procedure of the Office of the University Registrar.
  6. Works collaboratively with the Office of Admission and with the Vice-chancellor for Academic Affairs to facilitate an efficient and timely process movement of the newly accepted students to the official registration in the university.
  7. Collaborates with the Administration and to the Deans to ensure the observation of the minimum requirements for all curricular matters as set forth by the CHED.
  8. Evaluates the scholastic records/credits for purposes of accreditation of transfer units, determination of curricular level, scholastic standing, promotions, graduation and others.
  9. Management to accounting and maintenance of all the transactions at the office
  10. Supervise the issuance and release of students’ academic records.
  11. Signs the Transcript of Records, Diploma, Certificates and other related documents of the students.
  12. Prepares and publishes the University Academic Calendar
  13. Orients the students on academic policies, rules and regulations.
  14. Regulates the information on statistical data of enrolment, graduates, dropped-outs, etc.
  15. Resolves questions on academic policies, and regulations and students’ records.
  16. Performs curricular consultation with the Administration together with the OVCAA and Deans.
  17. Assist in the revision of university curricula
  18. Maintains linkages with other Registrars in connection with student records and registrar’s concerns.
  19. Periodically reviews and improves the present systems of students’ database record.
  20. Assists, supervises, coordinates, checks, evaluates and reviews the work of Registrar’s personnel.
  21. Designs and revises forms needed for Registrar’s Office use and transactions.
  22. Oversees the proper use, maintenance and control of property and equipment of the office.
  23. Requests the needed equipment and supplies of the office.
  24. Acts as Secretary of the University Special Council Meeting and En Banc Marawi Campus Council Meeting.
